Tips for using this page
- List tasks in the order they have to happen where there is one, so that the marks move down and across the page as the project advances. The sample tasks describe a small event; replace all of them.
- Keep the stages few. Three is enough for most projects, and a fourth such as Waiting earns its place only when tasks often depend on someone outside the group.
- Mark the current stage of a task with a tick or a filled box and leave the earlier marks in place. The row then shows the path the task took, and a row whose marks stop in the middle is the one to ask about.
- Use the Who column for initials. It is narrow by design, and a task with two sets of initials usually needs splitting into two tasks.
- Break any task that will take longer than the gap between two check-ins into smaller ones. Twelve rows is the limit of the page, and a task that never moves makes the whole sheet look stalled.
- Reprint the sheet when the task list changes. Your typed tasks are remembered on this device, and a share link gives the rest of the group the same page to print.
Questions
Is this a kanban board?
It borrows the idea of stages as columns, but tasks stay in fixed rows and you mark the stage with a pen. That makes it printable on one sheet and easy to pin to a wall.
Can I rename the stages?
Yes. The stages are a list of up to five headings of up to 12 characters, for example Draft, Review, Approved, Sent.
Can more than one person use the same sheet?
Yes. Print it once for a shared wall, or send the share link so that each person prints an identical copy.
What if my project has more than 12 tasks?
Split it into phases and print one sheet per phase, with the phase name in the project name field.
